How in-app video meetings work

From scheduling to transcript review, everything stays on the case timeline your team already uses.

  1. Schedule or start from a case

    Create an online meeting on a case plan, pick CareTrack video as the provider, and invite staff plus family portal users. For urgent check-ins, start an instant meeting and add participants from the case team.

  2. Join in the browser

    Authorized users open the meeting room inside CareTrack, with camera, microphone, chat, and participant controls. Google Meet and Microsoft Teams remain available when your agency prefers an external link instead.

  3. Capture a live transcript

    Speech during the session is written to a running transcript in the meeting room. Staff can follow along in real time and refer back without relying on separate note-taking apps.

  4. Translate for participants

    When translation is enabled, the transcript can be rendered in another language. Target and source languages are chosen in the room, with results saved on the meeting record so reviewers see both original and translated text.

  5. Invite the right people

    Organizers, assigned workers, collaborators, and family members with portal access can be invited. Access follows case permissions, so only people authorized for that matter can enter the room.

  6. Review after the call

    The meeting hub lists past and upcoming sessions with participants, usage, and transcript access. Supervisors open the timeline, download context for supervision, and continue casework in the plan without losing what was said on the call.
